PERMANENT CLINIC CLOSURE ANNOUNCEMENT

Dear Patient,

We regret to inform you that the Shelbourne Medical Clinic will be permanently closing on March 31, 2024.

Please note that, due to our upcoming closure our physicians may not be able to order tests, imaging, investigations or consultations that have a lead time past our closure date. In keeping with the College of Physicians and Surgeons of BC Practice Standards of Primary Care Provision in Walk-In, Urgent Care and Multi-Registrant Clinics, “[t]he timely follow-up of diagnostic test results and consultations is ultimately the responsibility of the ordering or referring registrant”. Physicians are responsible to ensure proper and timely follow-up; therefore, as our physicians will not be at the Shelbourne Medical Clinic past March 31, 2024 they cannot assume responsibility for tests and investigations that will take place after that time. We apologize for any inconvenience this may cause.

We acknowledge how difficult and frustrating the healthcare system is to access and navigate at this time; however, we do advise that you attempt to establish yourself at another clinic within our community prior to our clinic’s closing. Our recommendation is to contact one of Victoria’s six Island Health owned Urgent and Primary Care Centres (UPCCs). You can find the locations and contact information for the UPCCs on the Health Link BC Website or by clicking here.

If you have not already registered for the provincial Health Connect Registry, we strongly advise you to do so. This registry is working to match unattached patients with Family Physicians and Nurse Practitioners. You can register yourself and your family by visiting the Health Link BC Website or by clicking here.

Prior to our closure, please request your medical records directly from our office. After March 31, 2024, all original patient records will be securely stored with RSRS, a medical record storage facility. To obtain a certified copy of your medical record for yourself and/or a new doctor, please contact RSRS at 1-888-563-3732 or via their website at: www.recordsolutions.ca . There is a fee for this service but it is not prohibitive.

We highly value the relationship we have developed and genuinely appreciate the opportunity we have had to help you manage your healthcare needs.

The Shelbourne Medical Clinic staff wish you and your family the best of health in the future.

Yours Truly,
Dr. Lorne Verhulst
Medical Director

HOW TO BOOK AN APPOINTMENT

Please be aware that patients must register for ALL appointments by telephone. Please do NOT come in person to the clinic unless instructed to do so by one of our doctors or staff members. Our staff will register you via phone and set you up with either a telephone or in-person appointment based on your need and the availability. Please be aware that our phone lines are VERY busy as we work through these unprecedented times. If you can’t get through, please wait a few minutes and try to call us again. Our staff are doing our absolute best to answer an overwhelming amount of phone calls in a timely manner. Your patience is greatly appreciated. We book same day appointments only so please ensure you try to call early if you are needing an appointment. Please read our “COVID-19 Patient Safety” page for information on what we are doing to protect our patients. We appreciate your understanding and patience.

We regret, that due to the shortage of family physicians,  we no longer have family practices on site.

We are a same-day only point of access to primary care. Patients register by phone and are seen in the order in which they register. Please note, in the case of an emergency our MOAs may triage patients ahead of you.

DRIVER’S MEDICALS

Yes, we book these! Please note that there will be a fee to have your driver’s medical completed. Please call the clinic to schedule an appointment.

NO SHOW & LATE POLICY

Please be aware that once you are registered to see a doctor, you are responsible for letting our staff know if you no longer require the booked appointment. A minimum of one hour’s notice is required.

If you “no show” , a $45 fee will automatically be applied to your patient account. This fee must be paid before you can book another appointment with one of our physicians.

A “no show” is when you do not arrive at the specified time for your appointment, are more than 10 minutes late for your appointment, or when you do not answer a pre-arranged telephone call with the doctor.

“No showing” to an appointment means another patient in your community misses the opportunity to receive care. Please be considerate of our and others’ time while we navigate the physician shortage.

OUR CLINIC

Proudly serving the Victoria community since 1989, the Shelbourne Medical Clinic offers convenient medical care for urgent and routine health problems. You will find the clinic welcoming, comfortable and professional. Our clinic welcomes Victoria residents and out of town visitors.

The medical clinic is conveniently located beside the Hillside Mall. We are a short drive from downtown Victoria and the University of Victoria, and a short walk from Camosun College. We offer ample free parking and our clinic is easily accessible by car and public transport.

COVID-19

Please be aware that you must register for ALL appointments via TELEPHONE. We will NOT register you to speak with or see a doctor if you arrive in person without being instructed to do so by one of our staff. If you are experiencing respiratory symptoms (fever, cough, sore throat, difficulty breathing), please self-isolate. Please stay at home, unless in the case of an emergency, even if 811 has advised you to attend a clinic. You can call our clinic at 250-592-8485 so we can set you up with a telephone with one of our doctors. We appreciate your understanding and co-operation.

This is certainly an emotional time, and while you may be healthy and without symptoms, social distancing is about protecting your loved ones, the elderly and those with compromised immune systems. If you do have symptoms (cough, fever, shortness of breath, etc), these could be symptoms of either COVID-19, seasonal influenza or a cold. Either way, the safest approach is to self-isolate and take a COVID-19 test. There is also an online COVID-19 screening tool you can utilize, found here.

For ALL questions around COVID-19, please visit the BC Centre of Disease Control website or the Island Health website for the most up to date information. Thank you for respecting our staff’s time so that we can deal with the ongoing demand for healthcare in this difficult time. We will continue to update our website as necessary.

HOURS

Please check the Doctors’ Schedule for up-to-date opening and closing times as they may vary each day.
